Sending documents overseas? We will help you understand what is needed and coordinate the next steps. Boston Notary Service assists Cambridge students, families and businesses with apostille and authentication requests—from reviewing the document list to arranging the agreed return delivery.

Whether you are starting a new role abroad, preparing university records or handling an international business matter, begin with your documents, destination country and deadline.

A clear plan for important documents

You should not have to guess which office to contact or what to send. We help identify the preparation your records need, explain the proposed service and provide a clear quote before work begins.

Boston Notary Service is an independent service provider. Government authorities issue apostilles and authentications; universities and record offices control the documents they release.

What do you need prepared?

University records

Diplomas, transcripts, enrollment letters and academic verification documents for study, employment or professional recognition abroad. For Harvard, MIT or another institution, we start with the registrar’s preparation process and your recipient’s instructions. Authorized pickup can be discussed where available.

Personal and family records

Birth, marriage and death certificates begin with the appropriate official certified records. Court documents may require certified copies from the issuing court. If you need help retrieving a record, we review the custodian’s access and authorization requirements first.

Powers of attorney and private documents

For an affidavit, power of attorney or privately signed statement, obtain the final document and signing instructions from your attorney, preparer or receiving organization. We can discuss notarization when it is part of the required preparation.

Business and federal records

Company-signed declarations, certified state filings and federal records do not all follow the same process. List each item separately, including FBI background checks, so we can identify which authority and preparation apply.

Your Cambridge address is only part of the picture

Where a document was issued matters. Living or working in Cambridge does not make an out-of-state or federal record eligible for a Massachusetts apostille. A packet containing records from several authorities may need more than one processing route.

From your first question to return delivery

01 / Share your documents and destination

Tell us the document types and quantities, issuing school or office, destination country and date the completed originals must arrive. Include the recipient’s checklist and the documents’ current location.

02 / Confirm preparation and your quote

We review the request and explain the proposed steps. Your plan may include registrar coordination, certified-record retrieval, notarization when needed, or submission assistance. We confirm the scope, available timing and price before proceeding.

03 / Arrange handoff and return

After the plan is agreed, we provide the next instructions for sending or handing over your documents. Local collection is arranged individually. Domestic or international return shipping through FedEx or DHL can be discussed as part of your order.

Working around a deadline? Tell us early.

An overseas start date or application deadline often depends on more than the apostille itself. Record production, signing arrangements, government processing and carrier transit each take time. Share your arrival deadline at the start so we can assess the available options before you commit.

Questions before you order

Do I need to notarize every document first?

No. The right preparation depends on the document. Official certified records, university documents and privately signed papers can require different steps. Let us review the document type before you arrange an unnecessary notarization.

Can you help with Harvard or MIT documents?

Yes. Share the school, document type and destination country. We can help coordinate the appropriate registrar preparation and discuss authorized pickup where available. Each institution controls how it issues and prepares its records.

Can I begin if I am already outside Massachusetts?

Yes. Start with the online request and tell us where your documents are now. We will discuss mailing instructions, any required originals or certified copies, and your preferred return address before you send anything.

Will a scan or ordinary photocopy be enough?

A scan can help us understand your request, but it does not replace the properly prepared document needed for processing. Massachusetts requires qualifying original signatures and does not certify photocopied signatures. We will explain what to send for your specific record.

How long will the process take?

Timing depends on document readiness, the issuing authority, government handling and shipping. Tell us when the completed originals must arrive. We will confirm the available service options for your documents; urgent handling and delivery dates must be agreed in advance.

What does my quote include?

Your quote sets out the agreed services, which may include document preparation coordination, eligible retrieval, submission and return shipping. We explain the scope and cost before work begins. Optional services and international delivery depend on your request.

Is an apostille right for every destination?

No. Some destinations require a different authentication or legalization process. Include the destination country and the receiving organization’s written instructions so we can identify the appropriate next steps.

Let’s get your documents moving.

Tell us what you need, where the documents will be used and when they must arrive. Our team will help you understand the next step and prepare a clear service quote.
