Mixed-University Document Apostille Guide: Planning One Packet
Updated: 6 hours ago
Track each institution and record separately
When a request includes records from more than one school, make a line for each document. Record the university and campus, issuing office, preparation stage and intended recipient. One institution’s completed preparation does not establish readiness for another record.

Plan the sequence around the least-ready record
Ask which documents are ready now, which need replacements and which still need a registrar signature. Discuss whether the recipient permits separate deliveries or requires a single packet before choosing your shipping plan.
Keep the recipient’s instructions with the request
Collect the destination, exact record, document count, required arrival date and any translation instructions. Ask whether the recipient accepts a verifiable electronic credential or requires paper certification. Share changes before additional work begins.
Use the correct registrar resource
Schools publish different preparation and release instructions. Start with the registrar for your actual campus or school, and ask which steps are included. The resources below are examples, not a single process for every university.
Build a packet checklist before ordering replacements
Start with the receiving organization’s written request. For each item, record the student’s name as it appears on the record, the institution and campus, the exact document requested, the number of copies, and the destination. Add the school’s order reference and the person handling the request. This checklist helps prevent a transcript from one school being mistaken for a diploma from another.
Questions to send each registrar
Ask which office prepares records for international authentication, whether the document must be newly issued, and whether the school provides signature or notarization preparation. Confirm how you authorize release to a third party and whether a sealed envelope must stay sealed. Request an estimated preparation date and tracking when available. Do not assume a downloadable student-portal PDF meets the recipient’s requirements.
Example: two schools, one overseas deadline
Suppose your recipient requests an undergraduate diploma from one university and a graduate transcript from another. The diploma is ready, but the transcript is still being prepared. Tell BNS which record is ready and share the deadline before shipping. Ask for a plan that compares waiting for both records with handling them separately. Separate processing or shipments may add costs; a combined packet may depend on the slower school. Confirm the approach before proceeding.
What to include in your BNS inquiry
Start with a document list rather than sending sensitive records immediately. Include the schools, document types, destination country, receiving organization, deadline and your current location. Explain whether the records are in your possession or must be released by the school. Mention any special recipient instructions. BNS can discuss the preparation, coordination and delivery work you need and identify questions to resolve before a quote is finalized.
Compare the full scope of the quote
Ask what the service includes: document review, agreed pickup or coordination, submission handling and return arrangements. Confirm which university charges, government fees, translations or shipping costs are separate. Ask what happens if a school sends an incomplete record or the recipient changes its instructions. A clear scope makes it easier to compare options and approve the next step.
Keep the final packet organized
Before delivery, compare the completed packet with your original checklist. Confirm names, document count, intended recipient and delivery address. Keep tracking and correspondence together so you can follow up on a missing item. If the receiving organization requests a change, send BNS the exact wording before ordering another document or repeating a step.
Ask for a clear plan and quote
Tell Boston Notary Service which documents you have and which steps the school is already handling. We can review the remaining preparation and coordination needs, available handling and return arrangements. Wait for confirmed mailing instructions before sending originals.
What to confirm before proceeding
An apostille verifies an eligible signature or seal; it does not evaluate the degree or guarantee recipient acceptance. Government authorities issue certifications. University preparation, government handling and shipping must all be considered when discussing a deadline.
