Starting a job, continuing your studies or completing a professional application abroad? The first step is knowing which academic record your recipient wants. Boston Notary Service helps students and alumni coordinate document preparation, registrar arrangements, apostille or authentication processing, and return delivery.

Choose the academic record that fits your request
Document | What to confirm first |
Diploma or replacement diploma | Whether the recipient requires a registrar-certified document or accepts a properly prepared copy. |
Official transcript | Whether a paper record, notarized registrar certification or sealed delivery is required. |
Enrollment or degree-verification letter | The exact information and wording requested by the receiving organization. |
Digital credential or existing copy | Whether that format and its proposed certification will be accepted. Printing a PDF alone does not make it ready. |
How the Massachusetts university apostille process works
1. Start with the recipient’s instructions
Ask for the document type, destination country, certification requirements and arrival deadline. A transcript shows academic history; a diploma records the awarded degree. One does not automatically replace the other. If the recipient asks for both, tell us before ordering or mailing anything.
2. Confirm the school’s preparation process
Contact the registrar about records intended for use abroad. Schools have different ordering, notarization and release procedures. Some prepare the notarized certification internally; others require a mobile notary appointment. We can help coordinate the available route with your authorization.
For example, MIT publishes its own apostille preparation and notarization instructions. Suffolk offers specific transcript and replacement-diploma options for apostille requests and directs students to arrange a mobile Massachusetts notary. Follow your school’s process rather than assuming every campus handles records the same way.
3. Arrange notarization and authorized pickup
When the school requires an appointment, we confirm document readiness, the appropriate signer and pickup arrangements. The school may need a student release or order confirmation. A registrar’s certification and a notary’s copy attestation are different preparations; use the one your recipient accepts.
4. Complete the correct certification route
For a qualifying Massachusetts document, we coordinate the apostille or authentication submission after preparation is complete. The document and official signature determine the issuing jurisdiction. Records from another state or a federal agency need their own route. The destination determines whether further legalization is required.
5. Plan return delivery and translation
Tell us where the completed packet should go and when it must arrive. We can discuss domestic or international shipping and whether the recipient needs a sealed school envelope. Confirm translation requirements before arranging a translation, including whether the apostille itself must be translated.
Already have your diploma or transcript?
You may be able to use it. Tell us whether it is an original, a registrar-certified copy, a notarized copy or an electronic record. We review the preparation before recommending a replacement. An apostille authenticates the relevant signature, capacity and seal; it does not evaluate your degree or guarantee admission, licensing or acceptance.
What to include in your request
University and campus, document type and number of documents.
Whether you already have the records or need new copies.
Destination country and the recipient’s written instructions.
Any school order or authorized-pickup arrangements already started.
Arrival deadline and return-delivery country.
Common student and alumni questions
Can you help if I am already overseas?
Yes. We can discuss remote coordination, authorized campus pickup and return shipping. The school still controls release of its records, so contact us before directing an order to a pickup location.
How much does it cost and how long does it take?
Your quote depends on document count, school preparation, notary travel, pickup, certification and shipping. The schedule starts with record readiness and appointment availability. Share a fixed deadline early so we can confirm the available options.
For a tight deadline, distinguish records still awaiting registrar preparation from documents already ready for state submission. Review expedited Massachusetts apostille options and include the school’s release date and the date the recipient needs the originals. Each school’s preparation and delivery rules still apply.
Can a copy be used instead of the original diploma?
Sometimes, if the recipient accepts that preparation and the document meets certification requirements. Ask for written confirmation before choosing a copy attestation over a registrar-prepared record.

University document coordination across Massachusetts
Students, alumni, academic administrators and authorized representatives can request help with diplomas, transcripts, degree verification letters and other eligible records. We coordinate document-format checks, registrar communication, authorized pickup or retrieval where offered, required notarization, state authentication or apostille handling, and tracked return shipping.
Serving Boston’s university community
Boston Notary Service handles inquiries involving Suffolk University, Boston University, Northeastern University, Harvard University, MIT, Boston College, UMass Boston, Emerson College, Bentley University, Brandeis University and other Massachusetts schools. Each institution determines its own registrar policies, release procedures and document-signing requirements. No university endorsement or affiliation is implied.
Before you order duplicate records
Provide the exact name of the school, records wanted, destination country, foreign recipient instructions, desired delivery date and whether the registrar has already prepared or released the record. Where needed, we can review whether the document must be school-issued, signed, notarized or otherwise prepared before state submission.
