A clear request helps avoid unnecessary back-and-forth. Use this checklist to organize what you have, identify what may still be needed and tell Boston Notary Service how we can help. Government authorities issue apostilles and authentications; our private service coordinates the agreed preparation and submission.

1. Identify the document and issuing authority

Write down the document name and the state, federal agency, court, school or other organization that issued it. A Massachusetts birth certificate and an FBI background check do not follow the same authority’s certification process. If your packet contains several document types, list each separately.

2. Confirm the destination and receiving instructions

Provide the destination country and the organization requesting the document. Include any written instructions about document age, certification, translation or delivery. Convention membership alone does not settle every relationship, territorial issue or document exception.

3. Check which version you have

Tell us whether you have an original, an official certified copy, an electronic record or an ordinary photocopy. Vital records and court records may require eligible certified copies. Retrieval depends on the issuing office’s rules and any required authorization. Do not send irreplaceable originals before receiving handling instructions.

4. Review school and privately signed documents

For diplomas, transcripts and enrollment letters, ask the receiving organization which school certification it requires and coordinate with the registrar. Privately signed affidavits and powers of attorney may require an appropriate notarial act. Notarization is not automatically required for every corporate or personal record.

5. Keep federal records on their own route

FBI records and other eligible federal documents may require U.S. Department of State processing. Tell us which federal document you have and its format. Do not assume that a Massachusetts notarial appointment can replace federal certification.

6. Provide your deadline and delivery needs

Give the date the receiving organization needs the completed packet, not only your departure date. Include domestic or international return delivery requirements. Availability, government processing and carrier schedules affect timing; request a current estimate for your documents.

7. Confirm the quote before proceeding

Ask which government fees, document retrieval, notarization, courier handling, translation coordination and return delivery are included. These services are not automatically bundled. We confirm the agreed scope and fees for your request.

8. Submit a complete request

Use the apostille intake form with your document list, issuing authority, destination and deadline. Online intake accepts requests 24/7; it does not mean government processing or staffed service is available at every hour. Wait for confirmation of preparation and the next step.

If you also need a mobile notary

Send the town or ZIP code, signer count, document type and preferred time through the service request form. Greater Boston visits are arranged by confirmed availability. If notarization is part of an apostille job, mention both needs so they can be reviewed together.
