Apostille and Notarization in Boston: What Each Step Does
Updated: 7 days ago

Need notarization, an apostille or authentication for a Boston-area document? Boston Notary Service helps individuals and businesses review the document's issuing jurisdiction, destination requirements and deadline, then coordinates the agreed preparation, submission and return arrangements.
Start with the recipient's instructions and your document list. We can review eligible mobile notarization, Massachusetts certification, federal document handling and embassy-legalization requests before quoting the work.
An apostille stamp is an official certification attached to documents like birth certificates, marriage records, diplomas, or powers of attorney, allowing them to be legally recognized in other countries. The apostille proves the legitimacy of the issuing public official’s signature and is governed by the 1961 Hague Convention Abolishing the Requirement of Legalization for Foreign Public Documents.
If your document is destined for a country not in the Hague Convention, a multi-step authentication and consular legalization process may be required instead. At Boston Notary Service, we are experts in both scenarios.
This is one of the most common questions we get.
Notarization verifies the signer’s identity and intent under Massachusetts law.
Apostille certifies the public official’s signature (which may be a notary) for international use.
Our licensed Massachusetts notaries public notarize your documents first—then we walk them through the apostille process, either with the Massachusetts Secretary of the Commonwealth or U.S. Department of State for federal documents.

An FBI Identity History Summary follows the federal route through the U.S. Department of State. An online BNS inquiry is separate from government submission; it is not a direct electronic upload to the federal apostille office. Confirm the complete official report format, destination, current submission option and return delivery before ordering.
If the Apostille Convention does not apply to the destination and document, we can review the applicable authentication and consular legalization steps:
Notarization or Certification
Authentication by the U.S. Department of State
Legalization at the Foreign Embassy or Consulate
We coordinate each stage to ensure your documents are fully legal and recognized overseas.

If you're near the John Hancock Tower or Boston Public Library, you're just steps away from your trusted apostille provider.
Here’s how we make the process easy:
1. Submit Documents
Begin with a service inquiry and your document list, destination and deadline. Wait for agreed document-handling or appointment instructions before sending originals or sensitive files.
2. We Notarize
We notarize in-house if necessary.
3. Apostille Filing
We deliver by hand to the Secretary of the Commonwealth in Boston, or send to Washington, D.C. for federal apostilles.
4. Delivery
Receive your apostilled documents by secure mail, FedEx, or in-person pickup.
Q: How long does it take?
A: Timing depends on document readiness, the certifying authority, the permitted submission channel and return delivery. Tell us the required arrival date so we can review current options. An urgent inquiry is not confirmation of same-day government issuance.
Q: Can you notarize documents from out-of-state? A: We can notarize signatures in Massachusetts. For non-MA issued records, we guide you through state-specific apostille options.
Do I need an original or a copy? Government vital records generally require the appropriate official certified record. Private documents, academic records and federal reports have different preparation rules. A PDF sent for preliminary review does not establish that a digital copy is eligible for government certification.
Q: Can I drop off in person?
A: Ask us to confirm the meeting location, appointment and handoff instructions first. Do not arrive or mail originals to an unconfirmed location.
“I needed my diploma apostilled for work in Spain, and Boston Notary Service handled everything in 2 days. I didn’t even have to leave my neighborhood in Back Bay.” — Julia R., Boston, MA
“Professional, knowledgeable, and fast. They knew exactly what my FBI check needed for the UAE.” — Michael L., Cambridge, MA
“We use BNS monthly to apostille business documents. They never fail us.” — Corporate Client, Boston Financial District
When comparing services, ask about the actual handling plan:
Who is responsible for reviewing the document and recipient instructions?
Which government authority and submission route apply?
What service, government and delivery costs are included?
How will originals be handed over and returned?
Which processing factors are outside the provider's control?
