Closed Massachusetts College Transcripts and Apostille Preparation
If your Massachusetts college has closed, begin with its current records custodian. A former campus address or old registrar email may no longer be the right place to order. Boston Notary Service can review available coordination after the record holder and release requirements are confirmed.
Find the current record holder
The Massachusetts Department of Higher Education maintains a directory for records from closed degree-granting institutions. Search the school’s name and review its individual entry. The directory also distinguishes non-degree private occupational schools and closed hospital-based nursing programs, which can involve different agencies.
Ask what the custodian can actually issue
Ask separately about an official transcript, replacement diploma, graduation verification and any signed certification the recipient requires. The availability of one record does not establish that all former registrar services remain available. Confirm ordering, identity verification, release authorization and delivery instructions directly with the custodian.
Use the school name shown on the original record, including former names and campus.
Identify the exact record and the recipient’s required format.
Ask whether paper, electronic or direct-to-recipient delivery is available.
If another person will collect it, ask what written authorization and identification are required.
Confirm whether the custodian can provide the preparation needed for international certification.
A transcript order and an apostille request are separate
The custodian supplies or certifies the academic record. Apostille preparation then depends on the actual official or notarial signature and jurisdiction. Explain the foreign-use requirement before ordering. A downloaded transcript or ordinary diploma photocopy should not be assumed to satisfy a request for a properly prepared paper academic record.
If the custodian is outside Massachusetts, identify where the certification or notarization will occur before selecting the apostille route. The former school’s Boston address alone does not resolve that question.
When a recipient requires direct delivery
Ask the recipient how its direct-delivery rule works with the requested authentication. Do not open a sealed packet, break a custodian’s delivery chain or route a record through an intermediary until the recipient’s instructions are clear. Include those instructions in your request so we can assess whether coordination is possible.
Planning from outside Massachusetts or outside the United States
Send the school name, document requested, destination and deadline first. Tell us whether you already placed an order and whether the custodian permits authorized pickup or third-party handling. We can review the available retrieval, handover, certification and FedEx or DHL return-delivery work without promising that a closed institution’s records can always be recreated.
What if the original diploma is unavailable?
Ask the receiving institution whether it will accept an official transcript or another verification that the custodian can issue. Boston Notary Service cannot choose an academic substitute for the recipient. Once the accepted record is identified, we can review the related handling request.
Request a document review
Tell Boston Notary Service what the recipient requested, which documents you already have, the destination and required arrival date. We review the available assistance and confirm scope, timing and a written quote before work begins.
