Need a Massachusetts document for use abroad? Boston Notary Service helps individuals, students and businesses identify the right preparation steps and coordinate the agreed apostille or authentication work. We review the document type, where it was issued, destination country and deadline, then confirm the scope, fees and available timing before work begins.

Documents we can review

  • Massachusetts birth, marriage and death records, including eligible certified-copy retrieval requests
  • College diplomas, transcripts and enrollment records
  • Certified court records and eligible business documents
  • Powers of attorney, affidavits and other privately signed documents that may need notarization

Record access, eligibility and format depend on the issuing office and the receiving organization. A scan can help us identify a document, but it is not automatically a submission-ready record. Please ask before mailing an irreplaceable original.

Who issues the apostille?

The Massachusetts Secretary of the Commonwealth issues apostilles for eligible Massachusetts public documents. Boston Notary Service provides preparation and submission assistance; the issuing authority controls its review and processing. Massachusetts, federal and out-of-state documents can follow different routes. FBI background reports and other federal records require a separate federal process.

How the service works

  1. Tell us the document type, issuing authority, destination country, quantity and required delivery date.
  2. We review the preparation route, any retrieval or notarization needs, available timing and the quoted service scope.
  3. After you approve the quote and the required documents are received, we coordinate the agreed submission and return-delivery arrangements.

Before you start

  • Check whether you have the original, an official certified copy or only a scan.
  • Share the receiving organization’s written instructions, especially if it specifies apostille, authentication, embassy legalization or translation.
  • For university records, confirm registrar preparation and release requirements.
  • For attorney-prepared documents, follow the attorney’s signing instructions before arranging notarization.
  • Tell us about mixed packets. Documents issued by different states or federal agencies may need separate handling.

Not every document needs notarization. Official records and privately signed documents have different preparation requirements, so we review the document before recommending a notarial step. Government charges, service charges and shipping are separate parts of a quote; we explain what is included before proceeding.

Document authentication or apostille: start with the destination

If an overseas office uses the word authentication, ask for its written requirements. It may mean an apostille, a different government certification or a sequence involving an embassy. The document's issuing authority matters as much as the applicant's current location. Separate Massachusetts public records, federal documents and records issued by another state when describing your packet.

Boston-based coordination for an international deadline

Clients in Boston, Cambridge, Brookline, Quincy and nearby communities can request review of document preparation and delivery needs. Share the recipient's country, complete document list and required arrival date. If some records are still being ordered, identify them so we can plan around readiness rather than assume the whole packet can be submitted together.

Which route should your inquiry describe?

If the recipient asks for an apostille, share that wording and the destination. If it asks for authentication, consular certification or embassy legalization, include those instructions too. We identify the proposed document-handling sequence before quoting; the requested route should not be inferred from the word “international” alone.

For law firms, employers and business teams

List the document issuers, required original sets and whether documents must arrive together. A government-certified filing, university official’s signature and private business authorization may need different preparation within the same request.
