Preparation & service details
If your documents need more than an apostille, the hardest part is often knowing which steps apply and in what order. Boston Notary Service reviews your document's issuing authority, destination and recipient instructions, then quotes the agreed authentication, legalization and return-delivery coordination.
Start with a document review
Apostille, authentication or embassy legalization?
The route depends on the specific document, destination and applicable international arrangements. Where an apostille is appropriate, a traditional legalization chain may not be needed. Other requests can require preliminary certification, authentication and further embassy or consular steps.
We check your request rather than assigning a fixed process from a country name alone. A mixed packet can contain state, federal and privately signed documents that need different starting points.
Documents we can review
- Eligible certified birth, marriage and death records.
- Certified divorce decrees, judgments and other court records.
- University diplomas, transcripts and enrollment letters.
- Prepared powers of attorney, affidavits and consent documents.
- Certified corporate filings and other eligible business records.
- Commercial invoices, agency authorizations and export-related paperwork.
- FBI background checks and other eligible federal records.
The document title is only the starting point. Original signatures, official certifications, the issuer and the recipient's instructions can determine whether the version you hold is suitable.
What to send in your first inquiry
- Exact document name, issuing jurisdiction or agency, and document count.
- Country or territory of use and the receiving institution.
- The recipient's written checklist, if available.
- Whether you have originals, certified copies, scans or electronic files.
- Any translation, document-age, applicant-identity or multiple-set instructions.
- The date the completed packet must arrive and your preferred return address.
You can describe the request before sending sensitive records. If copies are needed for review, ask us to confirm the transfer instructions and which pages are actually required.
How we coordinate the service
- Review the route. We identify the requested certification stages and any missing instructions.
- Confirm preparation. We explain any required issuing-office copy, notarization or preliminary certification for the agreed request.
- Agree on scope and quote. We review handling, applicable government or consular charges, estimated timing and delivery arrangements.
- Coordinate the confirmed submissions. Additional authority requests or route changes are reviewed with you.
- Arrange return delivery. Confirm the recipient details, shipping method and any time-sensitive instructions.
Translation and multiple-document packets
Tell us early if translations or more than one set are required. The recipient may specify who can translate, how the translation is certified and where it belongs in the sequence. Translation is arranged separately with your chosen provider; do not assume an uncertified translation or a translation completed at the wrong stage will be suitable.
For company or professional-office requests, name one responsible contact and list each document separately. Include authorizations or signatory instructions when requested so the scope is clear before pickup or submission.
Timing and acceptance
Embassy schedules, appointments, holidays, document readiness, extra requests and shipping can affect timing. A courier collection is not the same as completed legalization. We confirm an estimate after reviewing the current route and do not promise an approval or universal acceptance.
Certification concerns the applicable official signature, capacity or seal. The receiving institution remains responsible for its substantive document and acceptance requirements. Ask its representative or your legal adviser to resolve questions beyond the certification service.

Business and personal documents requiring legalization
A foreign recipient may request authentication and consular legalization for a company record, university document or personal certificate. Send the written requirements and identify the issuing authority for each document. The destination alone does not establish every step; the record type and current receiving-office rules also matter.
Boston-based coordination for a multi-step packet
For a Massachusetts company or individual in Boston, Cambridge, Brookline or elsewhere, we can review the document list and quote the agreed preparation and submission coordination. Explain whether several records must arrive together and whether translation is being arranged separately. Embassy, consulate and government processing availability can change. We confirm the proposed route and estimates before accepting the work rather than promise a universal legalization timeline.
