University Apostille Checklist: Before Ordering Records
Updated: 14 hours ago
Avoid ordering the wrong transcript or paying for preparation twice. Use this checklist to organize an academic apostille request before spending money or mailing original documents.

1. Save the recipient’s exact request
Write down the country, receiving organization, purpose and required arrival date. Save the original instructions. Ask which record is required and whether a paper document, electronic credential, translation or direct school delivery is acceptable.
2. Inventory the records you already have
List each diploma, transcript, degree letter and replacement record. Note whether it is an original, an official school-issued copy, a scan or a downloadable credential. Keep records from different schools separate so the preparation route can be checked for each one.
3. Contact the right registrar
Use the office responsible for your actual campus, school and degree. Ask for its international authentication instructions and whether the requested record can be prepared with the necessary school official’s certification and notarization. A general transcript order may not include those steps.
4. Ask what the university includes
Does the office only produce the record, also arrange notarization, or forward a complete packet? MIT and Boston College describe different handoff arrangements. Use the school’s current published instructions and confirm anything unclear directly with its records office.
5. Confirm release and collection arrangements
If someone else will collect the record, ask what authorization and identification the school requires. Confirm the named collector, pickup office and record readiness before booking a trip. A service inquiry does not grant access to student records.
6. Build the submission and return plan
Confirm the government authority, destination details, document count, payment requirements and return method. Ask how the completed packet will travel and who receives it. Do not assume all Massachusetts-area schools or all notarizations use the same issuing authority.
7. Check the full quote
Separate university preparation, agreed notarization or pickup, government certification, translation if requested, private handling and shipping. Ask which changes could require a revised quote. Verify any urgent handling option before relying on it.
Ready for a review?
Send Boston Notary Service a summary of your school, document types, destination, readiness and deadline. Start with those details; wait for instructions about sending records. We can identify the remaining coordination steps and discuss an appropriate service scope.

University registrar coordination: what to request
Tell your registrar the foreign recipient's exact requested document, whether a diploma, official transcript, graduation verification, or sealed academic record. Before purchasing duplicate records, confirm whether the receiving authority requires a registrar signature, notarization, school seal, or a particular format. Boston Notary Service can help coordinate authorized retrieval, preparation and return shipping when available.
Local institutional document support
We assist students, alumni and authorized departments with Massachusetts university documents, including inquiries involving Boston University, Boston College, Suffolk University, Northeastern University, Harvard University, MIT, UMass Boston, Emerson, Bentley, Brandeis and other institutions. Each school's record release and signature procedures are separate; we do not represent any school or guarantee that it will release records without authorization.
Planning timing and international delivery
A university request can include separate stages: transcript or diploma production, authorized pickup, any required notarization, state apostille or authentication processing, and domestic or international shipment. Tell us your receiving country, required arrival date and recipient instructions so we can quote the actual services without promising a government turnaround.
