Usually, no. Form I-9 itself is not notarized. If an employer needs local help, HR can designate a representative to meet the employee in person and follow the assigned process. This is often what people mean when they search for an I-9 notary in Boston.
Why people search for an I-9 notary
Many employers hire remotely, and the person responsible for onboarding may be in another state. The employee still needs to complete the employer’s I-9 process. An employer can designate another person to carry out its document examination and attestation steps. That representative might also hold a notary commission, but the authority for the I-9 assignment comes from the employer—not the notary commission.
What a designated representative does
The employer decides whether to use an outside representative, who to designate, what part of the form or approved system the person must complete, and how completed information is returned. The representative follows those instructions, meets the employee for the assigned review and examines the acceptable documents under the employer’s process. The employer remains responsible for compliance and for the actions of its representative.
For a standard in-person examination, the representative examines the original documents the employee chooses to present from the current USCIS Lists of Acceptable Documents. The employee—not the representative—chooses which acceptable documents to show. The representative should not ask for a particular passport, visa, immigration record or extra identification simply because it seems convenient.
No notary seal on the Form I-9
Do not stamp, notarize or attach a notarial certificate to Form I-9 as part of the representative assignment. A notary who acts as the employer’s representative is performing that employer-directed role, not notarizing the form. If the employer separately asks for another record that needs notarization, treat it as a different document and a separate service.
Can a remote video appointment replace the in-person review?
Not automatically. An ordinary video call or remote-online-notary appointment is not the same as the DHS-authorized alternative procedure for employers that qualify and follow its requirements. Ask HR which process it uses. Boston Notary Service coordinates employer-designated, in-person appointments around Boston and Greater Boston; the employer determines its compliance procedure.
Requesting a Boston-area I-9 appointment
Once HR approves the representative, share the company name, HR contact, employee’s town and meeting location, deadline, assigned section or platform workflow, and how completed information should be returned. We confirm that the instructions and appointment fit our service, then provide availability and a clear quote. For multiple local hires, include the number of employees and preferred time windows so we can review scheduling.
Appointments may be arranged in Boston, Cambridge, Somerville, Brookline, Newton, Quincy and nearby communities, subject to location, travel and schedule confirmation. Do not include identity-document numbers, scans, passwords or account credentials with the initial inquiry.
Frequently asked questions
Does an employee need to bring a specific document?
The employer should direct the employee to the current Form I-9 instructions. Employees choose from the acceptable documents listed by USCIS. The representative should not require a particular document outside that process.
Can I schedule before HR confirms the representative?
Please get employer approval and written instructions first. This lets us confirm the assigned task, deadline, platform and secure return method before the employee travels or meets us.
Who is responsible if the form has an error?
The employer is responsible for its I-9 compliance process, including its representative’s actions. The employer should review the completed information and provide any correction instructions.
What if the employer is eligible for a remote examination procedure?
The employer should determine eligibility and follow current DHS/USCIS rules for the alternative procedure. It should not assume that using video or a mobile notary alone satisfies those conditions.
