Hiring someone in Greater Boston while your HR team is elsewhere? An employer-designated authorized representative can coordinate local, in-person Form I-9 document review. The assignment needs clear instructions and remains part of the employer’s compliance process.

Set up the assignment

Confirm that your organization permits an outside representative. Provide the employee’s name, appointment location, completion deadline, HR contact and current form or platform workflow. Confirm acceptance before directing an employee to attend.

Give clear completion and return instructions

Identify which work the representative should perform, how questions will be escalated and how completed information must be returned. Arrange any platform access securely. Never send administrative account credentials in a general inquiry.

Plan repeat hiring appointments

For multiple local hires, ask about scheduled appointments at one agreed office location. Share employee count and proposed time windows so staffing, travel and fees can be reviewed. Each employee’s review must remain separate; a group appointment does not remove individual requirements.

Avoid the notarization mistake

Form I-9 is not notarized. A representative who also holds a notary commission should not add a notary seal to the form. The employer remains responsible for its representative’s errors and should review the completed information.

Review current guidance

Use USCIS guidance for acceptable documents, deadlines, corrections and retention. An eligible employer’s DHS-authorized alternative procedure is separate from ordinary mobile notary or video services. Direct compliance questions to HR leadership or counsel.

Request business support

Send company name, HR contact, location, employee count and timeline through our service request form. We confirm the workflow, availability and quote before accepting an assignment.
