MIT Apostille Guide: Originals, Replacements & Delivery
Updated: 4 hours ago
Your academic records. A clearer plan abroad.
Already have a diploma, or need a replacement? Identify what the recipient requires before deciding which original to mail or which academic record to order.

Start with MIT preparation
MIT publishes registrar instructions for apostille certifications, including obtaining the appropriate degree certification, transcript or replacement diploma and preparing the complete packet. Follow the current school instructions before choosing a record or arranging outside collection.
Review originals and replacements
List the diploma, official transcript and digital credential you already have. Ask which can be used, whether a replacement is necessary and whether your original will be returned. Keep an inventory of originals sent.
Ask whether a degree certification, transcript or diploma meets the recipient’s request; they are not interchangeable.
Confirm preparation before sending originals
Ask which signed, certified or notarized version the registrar can provide. Do not add a notarial stamp or alter a school-prepared packet without confirming the required route. Keep record procurement, university preparation, government certification and delivery as separate tasks.
Your request checklist
Include the school and campus or program, exact record type, number of documents, destination, recipient instructions, required arrival date, current document location and return-delivery country. Note which records still need to be ordered.
Understand timing and the quote
University production, registrar preparation, government handling and shipping each affect the schedule. Faster delivery does not necessarily shorten the earlier steps. Ask what the service quote includes and which charges apply to collection, preparation, government processing and return delivery.
Get help with the remaining steps
Boston Notary Service can review your request and confirm available preparation or coordination assistance and a quote. Tell us which tasks the school is already handling so the service covers what you need. Wait for confirmed mailing instructions before sending originals.
Choose between MIT preparation and outside coordination
MIT describes both an appointment-based preparation route and a mail route through its Registrar. Its instructions cover degree certifications, transcripts and replacement diplomas. Decide which record the recipient actually requests before ordering; a convenient substitute may not satisfy the application. Ask MIT which preparation steps it will handle and tell BNS the answer so you do not purchase overlapping work.
If you are arranging this from outside Massachusetts
List the documents you already have, where they are located and whether MIT still needs to produce anything. Ask the Registrar about the complete packet required for your chosen route. Then ask BNS about any remaining collection, submission or delivery coordination. Agree on who receives the originals and who arranges the final shipment before mailing. Keep your record-order reference and recipient instructions together.
A useful request example
My recipient needs a diploma and transcript for use in another country. I have the original diploma, but have not ordered the transcript. My deadline is the date the recipient must receive the packet, not my flight date. Please help me identify the remaining preparation and delivery steps. Including those details gives BNS a much better starting point than simply asking for the fastest apostille.
Common questions
Does every overseas use require an apostille? No. Ask whether the recipient accepts an official electronic credential or requires paper certification.
Can a private service issue an apostille? The relevant government authority issues it. A private provider coordinates the agreed preparation, submission and delivery.
Does certification guarantee acceptance? No. The recipient’s record, translation and application requirements still matter. Share those instructions before work begins.
